Let’s go over questions to ask potential wedding venues!
When you’re engaged, and looking for potential wedding venues, it’s a total process. You first research locations, then book appointments, and then go and meet with those who run the venue for a tour. During the tour, the venue may share a lot of information with you. They will show you where ceremonies or receptions take place, and go over the perks of their location. Of course, they will go over prices and potential dates, but they may not share everything and anything that you’ll want to know.
That’s where having questions to ask potential wedding venues comes in.
Being prepared with the right questions to ask potential wedding venues means that you’ll be super informed on how the venue works. And, it will help you identify potential non-negotiables or problem areas before you book a location. This is a good thing, because once you set your date and leave a deposit, it can be hard to change venues. It’s important that the venue lines up with your wedding vision so you don’t have to make compromises or give up on things later on.
46 Questions To Ask Potential Wedding Venues
This post is going to share with you questions to ask potential wedding venues. Just to warn you, there are a lot of questions in this post. Like, a lot. 46 to be exact. I’ve done my best to break them into categories to try and lessen the overwhelm. Pick and choose which ones work for you, as you go on your venue hunting journey.
Let’s get into it!
BASIC WEDDING VENUE LOGISTICS
No matter who you are, and what your wedding vision may be, there are some basic questions to ask potential wedding venues.
These are the type of questions that should be no-brainers, but are often overlooked. They are the logistical questions. The types of questions that answer basic wonders about when a venue is available, what they provide, how big they are, and all of that.
Be sure to ask your potential wedding venues these questions, right away:
- What dates are you available?
- What services do you provide day of?
- How many people can you fit at this location?
- What time would our wedding have to start or end at this location?
- Where would our ceremony be? What about our reception?
- What is your cancellation policy?
IMPACTS TO YOUR BUDGET
When it comes to how much a wedding costs, venues are not created equal.
You may tour venues that are super inexpensive, but you’ll have to pay for and set up everything yourself. Or, you can tour potential wedding venues that seem expensive, but they take care of absolutely everything. Often, when you properly weigh the extra expenses and effort of a blank slate wedding venue against an all-inclusive, you’ll find that the costs may be the same. Or, they may not.
In order to tell what value you’re actually getting out of a wedding venue, and what the impact to your budget will be, ask these questions:
- How much do you cost?
- How much is your deposit?
- When would payment be due?
- What is your service charge?
- Is there a cake cutting fee?
YOUR WEDDING DAY EXPERIENCE
One set of questions that is often overlooked is how the actual wedding day experience will go for the couples getting married.
Of course, venues will tell you that you’ll have an amazing experience getting married at their location. However, with a quick set of questions you can really understand what the experience will be like. For example, getting ready on site can be a lot less stressful than getting ready offsite and traveling. And, having the rehearsal available the day before the wedding tends to be more convenient than any other time. However, everything can be worked around, if needed.
Here are some questions to help you understand how smooth your wedding will be if you get married at that potential wedding venue:
- Can couples get ready on site? If so, what time is the space available?
- How do we work out when the rehearsal would be?
- Do you offer an after-wedding brunch option?
- Can we leave our wedding items here, and pick them up the next day? Or do we have to take them with us when we end our wedding?
- What happens if the power goes out?
- Do you allow more than one wedding each day?
VENDOR AND OTHER SERVICES SUPPORT
One of the biggest selling points for many wedding venues is the support they provide to those getting married. Often, that support can help you save time and money than trying to coordinate it yourself.
To delve into this a bit further, let’s explore some common services that venues tend to supplement themselves. Setting up your wedding, providing common rental items, supplying bartenders and servers, and even having a day of coordinator available are usually top of the list. However, the potential wedding venues you’re looking at may not have those services. Or, they may have them, and more.
Understanding what you’ll need to source yourself, and where the venue’s services end, is crucial to fully grasp how much effort and money this venue will save you.
Here are some questions to help you understand what a venue really supplies to those getting married:
- What services do we have to provide ourselves?
- Do you have a list of preferred vendors we have to choose from?
- Do you provide tables, linens, plates, and glasses for the meal?
- Do you provide a bartender? What about servers?
- What does your day-of-coordination look like? Should we hire another professional to help?
- Do we have to provide our own microphones and speakers?
FOOD AND DRINKS
Of course, food and drink is an important part of any wedding. Unfortunately, for many venues, there tends to be strict policies about what is allowed and not allowed.
For example, many venues require you to order the food they cook and serve in-house. Or, they may only allow a select group of caterers to serve at their establishment. Some venues don’t allow hard alcohol, and some may not allow alcohol at all. If getting married at a brewery or winery, they may require that you only serve their product.
These are the questions to ask in order to get to the bottom of what’s allowed or not allowed, food-wise, at your potential wedding venue:
- Do we have to order food through you, or can we choose our caterer?
- If we have to order food through you, how do you handle tastings and choices?
- Do you have proper storage for cakes?
- What is your alcohol policy? Can we bring our own? Do you allow hard liquor?
- Can we hire a food truck to come to our wedding?
GUEST EXPERIENCE
Yes, we do plan our weddings for ourselves, but it’s important to keep guests in mind. Your wedding will just be better if guests have a great time.
I’ve written about what’s important to guests in this post, but let’s review it a bit more. Guests tend to care about a few essential things when they go to a wedding. They like the temperature to be comfortable, they like the food to be good, and they like it to be convenient for them. Beyond that, yes, there may be other items like cleanliness,, ambiance, and entertainment, but there are some basic needs that need to be met.
Below are some questions to help you understand how your wedding may be for your guests. These questions should also help you identify any risks that could come up that will impact your guest’s experience.
- Are there proper heating options in case it gets cold? What about air conditioning?
- How are the acoustics in this space? Can we hire a band, if we want?
- Can guests check their coats?
- How is the parking here?
- Do you provide a shuttle service to any local hotels?
- Are there enough bathrooms for our wedding guests?
- How do you accommodate guests with disabilities?
EVERYTHING ELSE
I know, I know. So far, we’ve covered a lot. What else can there be? Well, more.
The remaining questions have to do with issues that may come up, such as bad weather or security. They also have to do with your interaction with the venue, the venue requirements, and setting expectations for decorations and set up of your wedding. It’s all the remaining items you may be wondering, but need to have laid out in a list.
Here are the remaining questions to ask potential wedding venues:
- What are our bad weather options?
- What is security like for our personal items while we get married here?
- How many times would we meet before the wedding?
- Do you have proper insurance? Are we required to get more insurance?
- Do you provide décor? Can we bring our own?
- Are candles allowed?
- Are there any decorations that aren’t allowed?
- What does the lighting look like in the evening?
- Can we move things around?
- What are our options for a big exit at the end of the night?
- What major restrictions do you have?
